Welcome to Ready Set Shoot! These Terms & Conditions outline the policies that protect both you (the client) and us (the creative team behind your photos and videos). By booking a session with us, you agree to the following terms:
These Terms & Conditions serve as a legally binding agreement between Ready Set Shoot and the client. While every effort has been made to ensure accuracy and fairness, this document does not constitute formal legal advice. Clients are encouraged to contact Ready Set Shoot with any questions prior to booking. Ready Set Shoot reserves the right to update these terms at any time without prior notice. The version in effect at the time of booking will apply.
Booking Policy
Booking a session with Ready Set Shoot constitutes agreement to all outlined terms and conditions. To ensure fairness and professionalism, all bookings are governed by the following policies:

A non-refundable deposit is required to officially reserve your session date, time, and location. This deposit reflects a commitment of time and resources and is applied toward your total session fee.

Deposit amounts vary depending on the type of session or package selected and will be communicated during the booking process.

No session is considered confirmed until the deposit has been received and processed.

All sessions are scheduled on a first-come, first-served basis. Inquiries alone do not secure time slots.

If you are inquiring about a date that is already under consideration by another client, the date will remain available until the first deposit is received.

Booking confirmations will be sent via email or text once payment is received, including session details and location (if applicable).

If a session includes studio time, props, or rentals, additional terms may apply and will be disclosed during booking.

Clients are encouraged to complete booking forms promptly to ensure the accuracy of session details.

Ready Set Shoot reserves the right to decline a booking if it does not align with brand values or if the project scope exceeds available resources.
Payment Terms
To maintain transparency and ensure a smooth transaction process, the following payment terms apply:

Clients must pay a non-refundable deposit to confirm their booking. This deposit is applied toward the total cost of the session or package.

The remaining balance must be paid on or before the session date. No work (including previews or final deliverables) will be shared until payment is received in full.

If final payment is not received by the agreed date, the session may be postponed or canceled at the discretion of Ready Set Shoot.

Payments more than 5 days past due are subject to a 5% late fee per 30-day period.

Payment reminders may be issued via email or SMS as a courtesy, but it is the client’s responsibility to submit payment on time.

Accepted payment methods include: Zelle, debit/credit card (via secure processor), PayPal, and cash (with receipt).

Credit card and PayPal payments may include a transaction fee, which will be disclosed in your invoice.

Returned or failed payments may result in a hold on editing or delivery of final content.

All pricing, including package add-ons or extras, must be agreed upon before the session begins. Additional services requested after the session may require a separate invoice and must be paid in full before delivery.
Ready Set Shoot reserves the right to pursue legal action or collection proceedings in the event of non-payment.
Cancellation & Refund Policy
Life happens — and while we understand things can change, our cancellation and refund policy helps protect our time, resources, and other clients’ opportunities:

Cancellations made within 48 hours of the initial deposit (and more than 7 days before the session date) are eligible for a full refund of the deposit.

If the session is booked less than 7 days in advance, the deposit becomes non-refundable immediately upon payment.
-
Cancellations made after the 48-hour refundable window will forfeit the deposit, regardless of reason.

Ready Set Shoot reserves the right to approve or deny partial refunds in cases of early cancellation, depending on whether any time or services were already rendered (such as planning, consultation, or studio booking).

All cancellations must be submitted in writing (email or text) with clear intent to cancel.

Same-day cancellations or no-shows will result in full forfeiture of the deposit, and the client may be required to pay for any non-refundable third-party costs (e.g., studio rental or travel expenses).

If the Photographer/Videographer must cancel due to illness, emergency, or unforeseen conflict, the client will be offered:

A full refund
-
A rescheduled session at no extra cost
-
A qualified replacement professional (when possible, with client consent)

By booking, the client agrees to these cancellation terms and acknowledges that deposit loss is a standard industry practice for reserving service-based time slots
Rescheduling Policy
We understand that life can be unpredictable. To accommodate changes while protecting our calendar and time, we’ve implemented a tiered rescheduling policy:
Standard Notice Window: 7+ Days

Clients are allowed 1 free reschedule with at least 7 days’ notice.
-
Rescheduling is based on availability and must be completed within 30 days of the original session unless agreed otherwise.
Short-Notice Window: 2–6 Days

A $100 rescheduling fee will apply.
-
This fee compensates for calendar adjustments, scheduling disruptions, and lost availability.
-
The rescheduled session is subject to availability.
Last-Minute Notice: Less Than 48 Hours

Reschedules requested under 48 hours are considered cancellations.
-
A new deposit will be required to book a new date.
-
Exceptions may be made for documented emergencies (e.g., illness, accident, natural events).
If studio rentals, vendors, or location permits were already booked, rescheduling may include additional third-party costs.
Session terms and deliverables remain unchanged unless upgraded during rescheduling.
Clients are encouraged to communicate changes as early as possible.

Late Arrival Policy
Punctuality is essential to maintaining a smooth session experience for all clients and ensuring we stay on schedule. Our late arrival policy is as follows:

Clients are expected to arrive on time and ready to shoot at the scheduled session start time.

A 15-minute grace period is provided; however, arriving beyond this without prior notice may result in shortened session time or cancellation.

If a client arrives more than 15 minutes late without communication, the session may be canceled and the deposit forfeited, at the discretion of Ready Set Shoot.

If we are able to continue the session after a late arrival, the session will still end at the originally scheduled time, regardless of when the client arrives.
-
Additional time may be offered only if the photographer’s schedule allows and may incur additional fees.
-
For studio sessions, late arrival may affect your access to studio time, and we are not responsible for studio time lost due to tardiness.

If the photographer arrives at the agreed location, the client is expected to be fully prepared, dressed, and ready to begin shooting. Any delay due to lack of preparation will count against your allotted session time. If the start of the session is delayed by more than 10 minutes due to client unpreparedness (such as incomplete wardrobe, hair, makeup, or coordination), a $50 inconvenience fee may be charged to compensate for lost time, delayed setup, or studio overages. This fee will be added to your final invoice or must be paid before final delivery.
Please plan ahead for traffic, parking, and preparation time. We recommend arriving at least 10 minutes early to get settled and start strong.
Client Conduct
To ensure a safe, respectful, and professional experience for all parties, the following client conduct standards apply:

Clients and their guests must treat the photographer, videographer, team members, and any studio or venue staff with respect and courtesy at all times.

Ready Set Shoot maintains a zero-tolerance policy for verbal abuse, threats, inappropriate behavior, harassment, or unsafe conduct.

Sessions may be immediately terminated without refund if any form of disrespect, aggression, intoxication, or behavior that endangers the safety or comfort of the photographer/team occurs.
-
Clients are responsible for the behavior of any additional people they bring to the session, including children, friends, and family members. Children must be actively supervised at all times.
-
For studio or on-site bookings, any damage caused to equipment, props, rental space, or property by the client or their party is the financial responsibility of the client.
-
Illegal activity or the presence of prohibited substances during the session will result in immediate cancellation and possible removal from the premises.
By booking with Ready Set Shoot, clients agree to conduct themselves responsibly and understand that safety and professionalism come first at every session.

Children must be supervised at all times.
Image & Video Ownership
All images and videos created by Ready Set Shoot are protected under U.S. copyright law and remain the exclusive intellectual property of Ready Set Shoot.

Ready Set Shoot retains full copyright ownership of all photographic and video content captured during a session.
-
Clients are granted a limited, non-transferable license for personal use only, which includes sharing on personal social media accounts, printing for home or gifts, and personal digital use.

Clients may not sell, alter, reproduce, redistribute, or use any images or video footage for commercial purposes (including marketing, brand promotion, product sales, business websites, sponsored content, or ads) without purchasing a separate commercial license.

Clients may not apply filters, edit, crop, or alter the final images/videos in any way that misrepresents the photographer’s original work or brand.
-
Use of Ready Set Shoot content without proper licensing or attribution may result in legal action.
-
If a commercial license is needed, please request this during booking or before content is publicly distributed.
This clause helps protect the creative integrity, brand identity, and legal rights of Ready Set Shoot while giving clients access to personal memories and meaningful content.
Model Release & Promotional Use
By booking a session with Ready Set Shoot, clients acknowledge and agree to the following model release and promotional usage terms:

Unless otherwise stated in writing before the session, clients grant Ready Set Shoot the right to use images and video content from their session for portfolio use, website display, printed marketing, online advertising, social media promotion, and other forms of brand promotion.

This release is perpetual, irrevocable, and worldwide, and applies to all digital and print formats currently known or developed in the future.

Clients who wish to opt out of promotional use must notify us via email prior to their scheduled session.

Content may also be submitted to media outlets, blogs, contests, or shared with promotional partners to showcase the work of Ready Set Shoot.

Images and videos will never be used in a misleading, defamatory, or exploitative manner.

A separate model release form may be required when shooting with identifiable individuals or minors, especially for publication or large-scale distribution.

Image & Video Delivery
At Ready Set Shoot, we strive to deliver high-quality edited content in a timely manner. Our delivery process and terms are as follows:

Edited photographs are typically delivered within 2–3 weeks of the session date.

Video projects are delivered within 10–21 business days, depending on the scope of editing and volume.

Turnaround times are estimates and may be extended during peak seasons, holidays, or due to unforeseen circumstances. Clients will be notified in advance if delays occur.

A rush editing option is available for an additional fee and must be requested in advance. Rush timelines will be confirmed based on availability.
-
Final edited content will be delivered via a secure online gallery (such as Pixieset) or a private downloadable link.
-
Online galleries are available for 30 days. Clients are responsible for downloading their content before the expiration date. A re-upload or reactivation fee may apply for expired galleries.
-
RAW or unedited files are not provided unless previously agreed upon in writing and may be subject to a separate licensing fee.

Edits are completed in the photographer’s signature style. Minor retouch requests may be considered, but extensive changes may incur an additional editing fee or be declined if they do not align with our creative standards.
We recommend clients back up all delivered files upon receipt, as Ready Set Shoot does not guarantee long-term storage after the delivery period.
Editing & Artistic Style
Each session with Ready Set Shoot is approached with creativity, professionalism, and a signature editing style that reflects our brand. By booking with us, clients acknowledge and agree to the following:

Clients confirm they are familiar with the photographer’s portfolio and editing style, and book with an understanding of the creative aesthetic.

All images and videos are edited to reflect our professional judgment, lighting, color grading, composition, and storytelling approach.
-
Minor retouching (skin smoothing, lighting corrections, blemish removal) is included when necessary and appropriate.
-
Requests for extensive or advanced retouching (body modifications, background changes, object removal, etc.) must be made in writing before editing begins and may be subject to an additional editing fee or separate agreement.

Clients may request one round of minor revision (if applicable) within 5 business days of delivery. Requests made after this period may not be accepted.

We reserve the right to decline any editing requests that compromise the integrity of the work or misrepresent the style of Ready Set Shoot.

Clients may not apply external filters, overlays, or third-party edits to delivered content without written consent.
Our artistic vision is central to our brand and client experience. We aim to deliver compelling work that reflects both your story and our creative standards.
Weather & Emergencies
Ready Set Shoot understands that unexpected circumstances and uncontrollable weather can arise. The following terms apply to weather-related or emergency disruptions:

Outdoor sessions may be rescheduled at no additional cost in the event of inclement weather (e.g., heavy rain, storms, extreme wind or heat) that would compromise safety or image quality.

The determination of acceptable weather conditions is at the sole discretion of Ready Set Shoot.

Weather-related reschedules must be requested at least 2 hours prior to the session start time. Clients who do not show up or notify in advance may forfeit their deposit.
-
Emergencies such as personal illness, family emergencies, or unforeseen accidents will be handled with understanding and flexibility. Clients may be asked to provide documentation in some cases.

If the photographer or videographer experiences an emergency or becomes unavailable, clients will be offered the following options:

A full refund

A no-cost reschedule

A replacement professional (with client’s approval)

Ready Set Shoot is not liable for cancellations or delays caused by force majeure events, including but not limited to natural disasters, accidents, public health restrictions, government mandates, or transportation failures.
We are committed to working collaboratively to ensure a positive and respectful rescheduling process in any of these circumstances.
Liability Waiver
By participating in a session with Ready Set Shoot, clients agree to assume all risks associated with photography and videography services. The following waiver outlines our liability limitations:

Ready Set Shoot is not liable for any personal injuries, accidents, or medical emergencies that occur during the session or while traveling to/from the session location.

Clients are responsible for their own safety and the safety of all participants, including minors, pets, and accompanying guests.

Ready Set Shoot is not responsible for lost, stolen, or damaged personal property before, during, or after the session.
-
For sessions held at rented studios or outdoor locations, clients agree to follow all safety guidelines and venue rules. Damage to rented property caused by the client or their guests is the client’s financial responsibility.

While every effort is made to back up and safeguard all files, Ready Set Shoot is not liable for the loss or corruption of image or video files due to equipment failure, software issues, theft, fire, or unforeseen technical problems.

In the unlikely event of file loss or a critical issue that prevents delivery of the final work, liability is strictly limited to a full refund of the session fee or a reshoot, subject to availability.
Clients agree to hold harmless Ready Set Shoot, its owners, employees, affiliates, and representatives from any liability arising from participation in the session.
Governing Law
These Terms & Conditions and any disputes or claims arising out of or in connection with the services provided by Ready Set Shoot shall be governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict of law principles.
By booking services, the client agrees that any legal actions, claims, or proceedings arising from this agreement will be subject to the exclusive jurisdiction of the courts located in Harris County, Texas.
Additional Terms
Client Cooperation
Clients agree to follow reasonable guidance and direction from the photographer or videographer during sessions. Uncooperative, confrontational, or disruptive behavior may affect the quality or quantity of deliverables and is not considered grounds for a refund.
Satisfaction Disclaimer
Due to the subjective nature of creative work, Ready Set Shoot cannot guarantee client satisfaction related to personal preferences, appearance, or artistic interpretation. Refunds will not be issued based on dissatisfaction with personal appearance, posing, or style.
Data Privacy & Storage
Client information is collected solely for booking, delivery, and communication purposes and will never be sold or misused. Ready Set Shoot uses third-party platforms (e.g., Pixieset, Jotform) for content delivery and booking. While we take precautions, we are not responsible for data breaches, outages, or losses that occur on those platforms.
Agreement Acknowledgment
By booking with Ready Set Shoot and submitting payment, the client confirms that they have read, understood, and agreed to all policies outlined in this Terms & Conditions document. This includes, but is not limited to, the booking process, payment obligations, cancellation and rescheduling policies, usage rights, delivery terms, liability limitations, and behavioral expectations.
Booking a session, submitting a deposit, or signing any client forms constitutes full agreement to these terms, regardless of whether a physical or digital signature is provided.
Clients are encouraged to retain a copy of these Terms & Conditions and reach out with any questions prior to booking.
